Welcome AAS Panel Presenters/Speakers

The AAS is pleased that you will be participating at the AAS 2022 Annual Conference, March 24-27. You will be contributing to what we know will be a robust, informative, first-ever hybrid AAS Conference.


Access the Speaker Portal

All presenters/speakers, both in-person and virtual, have access to the speaker portal to submit any necessary edits or changes to presentation data.

In this portal, all speakers have access to complete the following tasks:

  • Edit Names or Affiliations
  • Update paper and session titles (as needed)
  • Update paper and session abstracts (as needed)
  • Download a Letter of Invitation (as needed)
  • Upload a Photo (optional but encouraged)
  • Add social media handles (optional but encouraged)

Please submit all updates by December 15, 2021 deadline to ensure this information is included in the print program.  This includes all name changes (substitutions and additions), speaker name updates, and presentation titles. 

*All speakers received login credentials via email on 10/29/21. If you have not received the credentials email, please check or spam/junk mail or contact the AAS at Speakers@asianstudioes.org.

In addition, Virtual Sessions and Virtual Individual Paper Presenters will see additional tasks in the portal. These include the options to:

*Upload pre-recorded session video1
*Upload slides and presentation (Individual paper presenters)

Additional details for virtual speakers to prepare for their participation in the virtual format of the conference can be found on the AAS Speakers Presenting Virtually page.

*All Virtual sessions are scheduled as LIVE PRESENTATIONS. However, virtual session organizers may choose to re-record the session if holding a live session is not possible due to time zone difficulties or other scheduling issues.


Session Updates

Presenter Substitutions / Additions

The program committee’s decision to accept panel proposals are based on the understanding that the accepted session was submitted in its final form. With the understanding that the session will be presented as originally submitted in the panel proposal.

The speaker portal may only be used to submit updates to existing titles and abstracts or individual accounts. Changes and updates that involve replacing a participant or adding a discussant should be submitted via the form linked below.

WE ARE UNABLE TO ACCEPT THE FOLLOWING CHANGES: We will not accept an additional paper presenter or new paper co-author(s) to a panel session.  We can only allow for substations in the case of a withdrawal OR the additional of a discussant on a session that does not currently include a discussant.

Session Format Change Requests

The AAS is accepting requests from organizers to change the format for panels from in-person to virtual OR virtual to in-person, if needed. We will accept a limited number of transfers and all requests must be submitted by March 3, 2022. All participants on a panel must agree to the format change before submitting the request.

Please note: There is limited availability for a virtual session move to an in-person session due to space constraints in the venue. If the request cannot be accommodated, the alternative is that the session will move forward as a virtual session with all attendees taking part in Honolulu from their hotel rooms or another quiet space.

Deadline: March 3, 2022


Speakers Letter of Invitation

To help you substantiate why you are attending the conference, the AAS will provide panel participants (panel chairs, paper presenters, and discussants) a personalized invitation letter. 

All speakers may download their personalized letter of invitation by logging into the Speaker Portal. Please refer to your welcome acceptance letter for login credentials.
