AAS2020 Exhibitor FAQ’s

EXHIBIT BOOTH (badges, furniture, dimensions, etc)

Are conference badges included with the Exhibit Booth?

Yes. Each 10 x 10 booth reservation includes three (3) full conference badges. Exhibitors may purchase up to two (2) additional badges at the discounted exhibitor rate. Additional badges needed beyond this number must be purchased through the regular conference registration page at the posted member/non-member rates.

Is furniture included in the booth?

Yes, each 10 x 10 booth purchase includes: one (1) six foot table, two (2) chairs and a wastebasket. Additional items may be rented directly from Freeman via the online ordering portal.

What are the exact dimensions of an 10 x 10 booth?

The booths are 10 feet wide and 10 feet deep

Do we need to order carpeting for our exhibit booth?

No. Carpet is not required in exhibit booths. As a sanitary precaution, we will not include carpet in the exhibit hall. This will allow for the hall to be thoroughly cleaned each evening.

SERVICES (internet, electricity, catering)

Is there complimentary wireless internet?

Yes, the AAS will provide complimentary wireless internet in all meeting space and the exhibit hall. However, we strongly recommend ordering a private connection if your exhibit booth requires a constant connection.

This is most especially recommended for exhibitors conducting demonstrations of databases or conducting payment transactions.

May we hold a food & wine reception in our exhibit booth?

Yes. The AAS requests that exhibitor holding reception please be respectful to their exhibiting neighbors and that you do not block the aisles. All catering order should be placed directly with the Hawaii Convention Center catering department. Please note however, that masks are required when individuals are not eating or drinking.

HOURS (check-in, move-in, move-out, etc.)

What are the Move in and Move Out Hours?

Check-in and Move-in: Thursday, March 24 at 8:30am – 4:30pm
Move-out: Sunday, March 22 12:00pm – 3:00pm

I am unable to stay until 12:00pm on Sunday. Can we close early?

No. The AAS strongly prohibits shutting down booths early and before 12:00pm on Sunday. This includes leaving booth unmanned with materials. Shutting down early, including packing boxes and materials BEFORE 12:00pm on Sunday not only greatly disrupts the exhibit hall but it leaves a terrible impression on the attendees that the AAS Exhibit Hall is empty and not worth attending. This in turns affects attendance the following years.

The AAS will note the Exhibitors that have closed their booths prior to the closing hours on Sunday and WILL ENFORCE STRICT PENALTIES the following year. These penalties may include fees and other restricted booth selection in following year.


Where and when should we ship our materials?

Please refer to the Levy Quick Facts for Shipping addresses. Also, the Exhibitor kit include pre-printed labels with the shipping address listed. You may print and make as many copies as needed.

Note: The Ala Moana hotel is located one block from the Convention Center. While all hotels are within walking distance, we are offering shuttle service from the Hilton and the Sheraton. Walking from the Hilton will take approximately 10 minutes, walking from the Sheraton is approximately 20 minutes.
